How to Schedule a Zoom Recurring Meeting: Desktop, Mobile, and Web

Zoom is easily one of the top video conferencing platforms with its various tools and easy-to-use design. It’s perfect for anyone who wants to schedule meetings easily and efficiently. However, some of you might not realize that Zoom allows you to schedule a recurring meeting.

What are Zoom recurring meetings?

Zoom recurring meetings are meetings with multiple occurrences that use the same meeting ID and settings. They can be scheduled in daily, weekly, or monthly increments and take place at any time. These meetings will be scheduled for up to 1 year from the time they are scheduled.

Scheduling a recurring meeting with Zoom has many benefits when it comes to convenience, ease, and efficiency. For those that want to plan ahead and make things easier for their team, using this tool is incredibly helpful. Here are the benefits of using recurring meetings:

  • Easy to use – Setting up regular meetings is simple to do.
  • Plan in advance – Prepare your schedule so you and your teammates know what is happening, when, and can avoid scheduling conflicts.
  • Save time – With all your regular meetings pre-booked, you don’t have to spend time setting up and booking meetings all the time.

How to set up Zoom recurring meetings on desktop (Windows and Mac)

Though they may sound complicated, Zoom recurring meetings are easy to set up. This can be done on pretty much any Windows or Mac computer with the latest version of the Zoom desktop client.

  1. Open the Zoom desktop client and log into your account.

  2. Click on the Schedule icon.

  3. Fill in your meeting settings with relevant information. For more information, check out how to schedule a Zoom meeting
  4. Check the box next to Recurring meeting.

  5. Click on the Schedule button.

Depending on whether you selected Google Calendar or Outlook in the “Calendar” section, the method for setting up the recurrence will differ. We’ll go over doing it with Google Calendar first, and then Outlook.

IMPORTANT

If you choose to schedule through Outlook, make sure you have the Outlook desktop client (via Microsoft Office) installed for your device.

 

How to set up Zoom recurring meetings using Google Calendar on desktop

  1. When prompted, sign into your Google account. If you’ve already signed in to one or more, select the account you’d like to use.

  2. Click on Allow to give Zoom access to your Google Calendar.

  3. Click on the menu initially labeled Does Not Repeat below your meeting’s date and time, then select how often you would like the meeting to recur.

  4. Finish customizing your meeting options, then click Save.

How to set up Zoom recurring meetings using Outlook on desktop

  1. Once Outlook opens to your meeting, click on Recurrence in the top toolbar.

  2. Once you’ve customized your recurrence settings, click OK.

  3. Once your meeting options are set up how you’d like them, click Send to forward the meeting details to your participants. If you’d like to revisit the invite later, click on the floppy disk (Save) icon.

How to set up Zoom recurring meetings on mobile (Android and iOS)

Recurring meetings are also easy to set up on your mobile device. Whether you use an Android device or an iOS device, this is how to set up a recurring Zoom meeting.

  1. Log into the Zoom app on your mobile device.

  2. Tap on the Schedule icon.

  3. Tap the menu labeled “Repeat.”

  4. Select how often you would like the meeting to recur.

  5. Once you see a checkmark next to your selected choice (like in the screenshot above), tap on Done.

The rest of the steps will be slightly different, depending on whether you are using an iOS or Android device.

 

How to set up Zoom recurring meetings on an iOS device

  1. Finish customizing the rest of your meeting settings, then tap on Done.

  2. Review and finish customizing the details listed on the iCalendar New Event screen. When you’re ready, tap on Add.

IMPORTANT

If you’re using an iOS device, you won’t have the option to make Google Calendar or Outlook your default calendar app. All recurring meetings created in the Zoom app will automatically sync to the iCalendar app.

 

How to set up Zoom recurring meetings on an Android device

  1. Make sure the toggle next to Add to Calendar is turned on.

  2. Finish customizing the rest of your meeting settings, then tap on Done.

  3. On the Info screen, tap on Add to calendar.

  4. You will be shown a list of your device’s calendar apps. Select the one you’d like to use.

  5. You might be asked to choose whether you want to use this calendar Just once or Always. Tap on your preferred option.

Now, follow one of the sections below to finish scheduling your recurring meetings in either Google Calendar or Outlook.

 

If using Google Calendar:

  1. Once Google Calendar opens, tap the rounding arrow (Recurrence) menu (it will initially say Does not repeat) to open your recurrence options.

  2. Select how often you would like the meeting to recur.

  3. Finish finalizing the rest of your meeting settings.
  4. Tap on Save to finish setting up your recurring meeting.

If using Outlook:

  1. Once your Outlook app opens, tap the setting beside the “Repeat” menu (it should say Never initially).

  2. On the Repeat screen, tap on Never again to open your recurrence options.

  3. Select how often you’d like the meeting to occur.

  4. Once your recurrence settings are correct, tap on the check mark (Confirm) symbol to confirm.

  5. Finish customizing the rest of your meeting settings.
  6. Tap on the check mark (Confirm) button to finish setting up your recurring meeting.

How to set up Zoom recurring meetings using a web browser

If you don’t have the app installed on your device, you can also easily set up a recurring meeting in your preferred web browser.

 

How to schedule a Zoom recurring meeting using web browser

  1. Go to https://zoom.us/signin and log into your account.

  2. Click on Meetings.

  3. Click on Schedule a New Meeting.

  4. While setting up the meeting options, click the check box labeled “Recurring Meeting” to mark it.

  5. Your recurrence options should now appear. Click on the drop-down menu labeled “Recurrence” to select how often you would like the meeting to recur.

    PRO TIP

    Recurring meetings set on the web have a maximum of 50 recurrences. If you’d like to have the meeting recur more than 50 times, make sure to select No Fixed Time.

  6. If you’re scheduling a meeting where registration is required, make sure to check one of the following options:
    • Attendees register once and can attend any of the occurrences – This automatically registers participants for all recurrences.
    • Attendees need to register for each occurrence to attend – Participants need to register for each individual occurrence. They can only choose one date and time at once.
    • Attendees register once and can choose one or more occurrences to attend – Once participants have registered, they can select in advance all dates and times they will be attending.
  7. Once you’ve finished customizing your meeting settings, click on Save.

How to add and edit Zoom occurrences using web browser

  1. Go to https://zoom.us/signin and log into your account.

  3. Click on the name of the meeting you wish to update.

  4. Click on Show All Occurrences to the right of the meeting’s listed time. This will open a list of all the days and times that the meeting is occurring.

  5. To change the date and time of one of the meetings listed, click Edit next to it.

  6. To cancel one of the meetings listed, click Delete next to it.

  7. To add an additional occurrence to the list, click on Add another session.

  8. To export the recurring meeting to your calendar of choice, click the appropriate icon next to Add to.

  9. Remember to Save any changes you make.

IMPORTANT

If your recurring meeting was previously exported to Google Calendar or Outlook, you will need to edit the meeting occurrences directly through the calendar service.

 

How to edit all Zoom meeting occurrences using web browser

  1. Go to https://zoom.us/signin and log into your account.

  5. You will be asked if you wish to edit all of the recurring meetings. Click on All.

  6. Click on the drop-down menu labeled “Recurrence” to change it.

  7. Click on Save to update the meeting.

If your recurring meeting was previously exported to Google Calendar or Outlook, you will need to edit the meeting occurrences directly through the calendar service.

 

How to schedule a recurring Zoom Webinar

If you’re looking to use Zoom to schedule a webinar, you’ll be able to easily make them recurring, too.

IMPORTANT

Before you attempt to schedule a recurring webinar, make sure you or someone in your company has a host license for the Zoom Video Webinars add-on, and its participant limit is higher than the number of people you’ll be expecting as attendees (100, 500, 1000, 3000, 5000, or 10,000).

When you’re ready, follow the steps below to schedule your recurring webinar.

  1. Go to https://zoom.us/signin and log into your account.

  2. Click on Webinars.

  3. Click on Schedule A Webinar at the top of the page.
  4. Fill in the relevant fields with information about your webinar.
  5. Select a date, time, duration, and time zone for the first webinar.
  6. Click the check box next to “Recurring Webinar” to mark it.

  7. Click on the drop-down menu next to “Recurrence.” Select how often you would like the webinar to occur. If you’ve selected Daily, Weekly, or Monthly you will need to pick an end date. Next to “End Date,” either enter the date of the final webinar or enter the number of times you’d like the webinar to occur.

  8. If you want registration to be required for your webinars, click the check box labeled “Required” in the “Registration” section.
  9. If you didn’t require registration for your webinar, skip to step 10.  select one of the following options:
    • Attendees register once and can attend any of the occurrences – This automatically registers participants for all occurrences.
    • Attendees need to register for each occurrence to attend – Participants need to register for each individual occurrence. They can only choose one date and time.
    • Attendees register once and can choose one or more occurrences to attend – Once participants have registered, they can select which dates and times they will be attending in advance.
  10. Select your Video, Audio, and Webinar options, then click on the Schedule button. You will be taken to the Manage Webinar page. This will contain a summary of your recurring webinar.
  11. If you would like to see the complete list of instances that the webinar will occur, click on Show All Occurrences.

  12. If your listings are hidden, click on Show all occurrences to expand the list of dates. You can now change listings of your choice by clicking on Edit or Delete. You can also click on Add another session to add additional dates to the list.
